Organize policies and procedures in Confluence

QC Read & Understood tracks Confluence pages, not Word files in a shared drive. If people must download a PDF to read the SOP, they are not working in the page the app can confirm. Prefer “read it on the page”.

Step 1: Create or open the space

  1. In Confluence, look at the left sidebar.

  2. If the space already exists, click its name.

  3. If it does not: click Create → Space. Choose a blank space. Name it after the system, not after the app (for example, Information Security or Quality Manual).

You should see: That space’s page tree in the sidebar.

Give View to everyone who must train. Limit Edit to document owners.

Step 2: Use a simple page tree

Create parent pages as folders of work, then child pages for each document. Example:

  • Information Security Policy

  • Information Security — related procedures

  • Quality — policies and procedures

  • Human Resources

  • Registers (incidents, suppliers) — often not assigned for R&U

  • Name pages so a new starter can scan the tree: Policy - Information Security, Procedure - Incident reporting, SOP - Line 4 startup.

Step 3: Add labels to pages

A label is a word Confluence attaches to a page. Acknowledgements and macros can select many pages at once by label.

  1. Open the page.

  2. At the bottom, click Add labels.

  3. Type a short word, for example policy, procedure, sop, induction.

  4. Press Enter, then close.

Use the same spellings every time (sop not SOP on some pages and sop on others — Confluence labels are their own list). Keep a one-page glossary of labels in the space.

Step 4: One current page per document

When a policy changes, edit and publish that page. Do not create Policy v2 as a new page and leave Policy v1 assigned. Read & Understood follows the page and the version strategy in Space Settings.

Step 5: Turn on QC Read & Understood

Turn the app on in this space, then run the training program.
