Create a training or induction

This is internal training and induction (onboarding): new people learn how the company works; existing people re-confirm when a controlled document changes. The click is not a “like”. It is an acknowledgment that they have read that version.

Before you start (Confluence)

  • Put policies and procedures in one space people can actually open. See Organize policies and procedures.

  • Create groups by role (for example hr-team, operators, new-starters), not one giant group of everyone. Atlassian: Create groups.

  • Give each group View on that space (Space settings → Space access).

  • Add a label on each training page (policy, sop, induction) so you can assign and report in bulk later.

Create the training

Step 1: Turn on QC Read & Understood for the space

Turn Read & Understood on. Leave version strategy on Confluence page version until you have a document-number process.

Step 2: Decide how you’ll assign users

One acknowledgement exclusively for induction purposes, with a rule-based due date

Step 3: Make R&U confirmations obvious on page

  • Default: QC - R&U in the byline (sign from the byline).

  • For SOPs and newsletters: put a Signature Box at the end of the text, so people finish reading first (the pattern customers use for internal communication).

Step 4: Users confirm page R&U

Send them the page link, or Send a reminder. They click Read and Understood. Status becomes Accepted for that version.

When you publish a new controlled version, they may become Accepted older version until they confirm again. That is the training record staying honest.

You should see: Assigned people as Pending, then Accepted, with a version and a date you can export.

Role-specific training

Do not assign every policy to every person. Match group (role) to label or to an acknowledgement:

  • Information security policy → group that must follow it

  • An SOP for a machine → only operators of that machine

  • Induction pack → new-starters group, then remove them from the group after they complete (they stay on the record until you remove them from the page if you need a clean live list)
